Looking for an experienced Personal Assistant for a 12 month maternity cover role with a leading Medical Device company in Galway. In this role you will be supporting two senior Heads in all their day-to-day administrative and secretarial duties. Key responsibilities: Perform general administrative duties that may include photocopying, coordinating meetings/appointments, typing, faxing, ordering/maintaining supplies, arranging travel, preparing and/or sorting mail. Answer complex functional questions that may require additional research and follow-up. Anticipate and coordinate projects/assignments, organize own schedule and that of others, to meet deadlines. May gather and prepare data in preparation of upcoming projects; identifies future needs to complete projects. Makes decisions using independent judgment under only general guidelines. Translate thoughts into documents (letters/memos/presentations, etc.) using existing material; ensure document is logical and complete as well as accurate in grammar and spelling; make suggestions for improvements in existing communications. Manage work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provide guidance to peers as necessary regarding proprietary information. Key requirements: At least five years in a similar Personal Assistant role supporting senior stakeholders in the business. Highly proficient in MS Office including excel and powerpoint. Excellent communication skills both written and verbal. Proven ability to multi-task and prioritise.
