Staff Officer (Grade V), National Medication Safety Programme (Safermeds) as part of the National Quality Improvement Team. Excel Recruitment have a fantastic opportunity for an experienced and driven Medical Administrative Officer to join our temporary team for a placement within the HSE. This is a 6-month temporary job with the successful candidate working 3 days per week. To achieve their mission the National Quality Improvement Team work across all levels of our health and social care service to educate, champion, partner, demonstrate and enable sustainable quality improvement. The team also has a leading role in HSE work to improve patient safety in relation to risks from VTE (Blood Clots. As part of the HSE response to Covid-19, the team also plays a role in the development of clinical guidance relating to medication use during the pandemic and related public information. The main function of this role is to provide administrative support and work as part of the National Medication Safety Programme team to actively support the delivery of the programme. This includes ensuring projects are implemented and delivered to cost, time and quality requirements. The post of Administrative Officer can be outlined as follows. Administration. Provide administrative support to the National Medication Safety Programme. Ensure the efficient day-to-day administration of area of responsibility. Ensure deadlines are met and that service levels are maintained. Ensure business processes are carried out in an effective and efficient manner in compliance with the National Financial Regulations (NFR's), and HSE Policies and Directives. Use appropriate technology to ensure work is completed to a high standard. Support the designated manager(s) or other members of the National Medication Safety Programme in producing information, reports and presentations by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data and graphics. Maintain confidentiality and a high level of professionalism. Provide cover to staff colleagues during periods of leave or absence. Ensure policies and procedures are well documented and understood and liaise with team members to ensure they are adhered to. Human Resources. Create and maintain a positive working environment among staff members, which contributes to maintaining and enhancing effective working relationships. Provide support to Line Manager. Quality Improvement. Contribute to the use of quality improvement methodology to current team projects. Maintain programme/ project toolkits and templates. Standards, policies, procedures & legislation. Maintain own knowledge of relevant HSE policies, procedures, guidelines and practices to perform the role effectively and to ensure current work standards are met by own team. Maintain own knowledge of relevant regulations and legislation. Pursue continuous professional development in order to develop management expertise and professional knowledge. Have a working knowledge of the Health Information and Quality Authority (HIQA) Standards and other standards as they apply to the role. Professional Knowledge & Experience. Demonstrate: Knowledge and understanding of National Medication Safety Programme, the National Quality Improvement team, the HSE and the broader health service and how it works. Plan and organise own workload in an effective and methodical manner within strict deadlines. Experience in delivering a range of business processes in an effective and efficient manner in compliance with legislation, policies and procedures. Experience of diary management, organising meetings and minute taking. Experience in collating data, preparing accurate reports, letters and briefings, and delivering within deadlines. Excellent MS Office skills to include, Word, Excel, PowerPoint and Outlook. Strong numeracy skills, including the ability to analyse data. Communications & Interpersonal Skills. Demonstrate: Effective communication and interpersonal skills including the ability to present information in a clear and concise manner. Strong written communication skills. Ability to deal with key internal and external stakeholders, including senior management.
