Description

Administration Executive - 3-month contract. A well-known Galway city-based charity service is seeking an Administration Executive to join their team on a 3-month contract. You will have day to day responsibility for administrative functions within the office including donor care, stewardship and retention, database management and reporting, income processing and reconciliation, event and campaign support alongside other administrative duties. You will report to the Fundraising and Communications Manager and work closely with other key departments within the organisation. Job Responsibilities. Maintain a high-quality filing system for fundraising, donor and donation information that follows all relevant data retention and GDPR policies and regulations. Manage donor direct debit transactions including commencing, altering and terminating direct debit payments as per donor requests and in line with relevant policies and procedures. Process and record all donations received in line with the relevant policies and procedures. Ensure all donations are counted and recorded in a timely manner. Ensure timely and professional acknowledgement of donations received including the fulfilment of all thank you letters. Work with the finance department to ensure that records of income for all fundraising activities in the fundraising database are reconciled and match those within the finance department. Deliver tax reclaim campaigns to ensure maximum return on eligible donations. Ensure adherence to all relevant fundraising and finance policies and procedures and that necessary changes to policies and procedures are notified to the relevant authority in a timely manner. Provide administrative and operational support to all fundraising events and activities as requested. Ensure the fundraising database is kept up to date, accurate and in compliance with all relevant policies and regulatory requirements in relation to GDPR. Provide regular reports and analysis as requested in relation to donor activity, fundraising income and other information as required. Use the database to identify and promote opportunities to generate revenue. Liaise with external consultants and programmers to ensure the ongoing modernisation and maintenance of the fundraising database ensuring it provides the most efficient and effective capacity within the limits of its scope. Identify areas in which to improve the collection, recording and retention of data to maximise fundraising outcomes. Job Requirements. Demonstrated experience in the management of donor databases and/or CRM systems. Experience working with the CHAMP donor management system would be advantageous. Evidence of working in a busy office environment with responsibility for ensuring effective and efficient communication and processes are in place to achieve outstanding results. Previous experience in the care, stewardship and retention of donors and a demonstrated understanding of the donor relationship development. Understanding of the non-profit / charity sector. High level written and verbal communication skills. Proven track record in providing outstanding customer service. Excellent time management and organisational skills with a demonstrated ability to multi-task and prioritise competing activities.
