Description

This is a fantastic temporary opportunity to work as a Service Administrator for a non-profit youth mental health organisation based in Dublin South West. Primary Responsibilities Provide a supportive first point of contact for young people entering the service and general reception duties. Answering the phone and sensitively dealing with queries from young people and from others concerned with the mental health of young people. Provide day to day administration support to the team and assisting the Service Manager in the general operations of the organisation. Scheduling of appointments. Organising travel arrangements, including transport and accommodation bookings, and processing expense claims in line with policies. Organising meetings and events and keeping records/taking minutes as appropriate. Ensuring appropriate filing system (both paper and electronic) for the service. Keeping accurate records in relation to all aspects of work and prepare reports and presentations as required. Working alongside the Service Manager, Youth, and Community Engagement Workers, YAP and Clinicians, updating social media channels and ensuring relevant youth-friendly content is being shared across all platforms. Regularly and thoroughly maintain office equipment and coordinate purchasing and delivery of office stationery. Assist with promotional and fundraising initiatives. To work in accordance with the policies and procedures of the organisation. Promote the vision, values, and mission of the organisation. Financial Administration: Supporting the team to instigate purchases in line with purchasing procedures. Liaising with the Finance Team regarding purchase orders and invoice approvals and payments. Ensuring invoices, back-up documentation and expense claims are submitted on time. Managing petty cash and any cash income, in line with petty cash and cash handling procedures. Knowledge, Skills, and Experience Required Essential Criteria: A recognised office administration training course (minimum FETAC level 5) and a minimum of two year’s post-qualification office experience. A relevant third level degree and a minimum of one year’s post-qualification office experience. Communication Skills: Strong communication skills (both verbal and written. Experience of sensitively dealing with people on the telephone and an ability to empathise with young people. Being confident in sharing clear and accurate information in a helpful manner. Good interpersonal skills. Awareness of the absolute importance of confidentiality. Administration Skills: Good organisational and administration skills. Excellent IT skills including Microsoft Word, Excel, PowerPoint and Outlook. Desirable Criteria: Working as Front of House in a health care setting or support service. A passion for improving youth mental health systems and services. The ability to manage and prioritise own workload. Have the capacity to work on their own and as part of a team. Be reliable, adaptable and have good timekeeping skills. Full, clean driving license.
