Our client, a Public Body based in Dublin City Centre is currently recruiting for an Administrative Assistant to Director. This is a contract opportunity for a period of 3 months. The salary for this position is €33,519 per annum. Role purpose : To provide professional secretarial and administrative support to the Director, Commercial Development across the range of his work. Key responsibilities: Secure and where appropriate prepare draft responses to CEO, MAC and Authority members and other stakeholder queries in a timely and professional manner. Develop, maintain and review administration and reporting across the Commercial Development directorate to achieve maximum efficiency. Maintain and organise the relevant diaries, filing system and all other relevant areas. Ensure all action points for the Director arising from meetings (and/or requests for decisions from colleagues and external stakeholders) are logged and actively tracked to ensure delivery against required timelines. Plan and organise internal and external meetings as directed. Co-ordinate travel arrangements and itineraries as required. Maintain and continuously keep up to date key stakeholder mailing lists (on behalf of the Director. Liaise on behalf of the Director, Commercial Development with Divisional Heads within Commercial Development directorate, officials of Government Departments and State Agencies, Local Authorities and all third parties, as necessary. Prepare documents, presentations and other communication material as required, where necessary undertaking the necessary research to garner the required information. Undertake any other ad hoc duties as required. Required skills and competencies: Previous experience operating and managing a busy office environment with evidence of successfully interfacing with a wide range of internal and external stakeholders to achieve the necessary outcomes. Previous experience in managing a range of secretarial and administration duties including drafting correspondence and typing, maintaining a filing system and preparing presentations for internal and external use. Strong communication and interpersonal skills. Strong organisational and time management/planning skills and the ability to prioritise work and meet deadlines. A high level of proficiency in Microsoft Word and PowerPoint. Desirable skills and competencies: Previous experience operating in Public Sector.
