Clerical Officer / Recognition Department. Salary: €23.5k. Permanent. Dublin City (red luas. Essential: A very high level of accuracy and attention to detail is required in this role. Job Purpose: The Clerical Officer is responsible for providing support in the Recognition Department which deals with applications for the recognition of qualifications gained outside the State. Key Activities: General Administration including phone cover, emails, post. Verify and process recognition applications, including tracking and management of deadlines. Maintain all applicant filing / records management systems and database records in accordance with recognition processes. Use of the Internal Systems, Passport System and any other verification system the organisation may use for verification and checking purposes. Provide administrative support for assessment of applications, including identifying and scheduling assessors’ training, interviews and meetings, preparing files and dealing with assessor queries. Provide general secretarial/administrative support to include drafting general correspondence, preparing reports, spreadsheets, database reports and any other information as required. Ensure applications for recognition are processed in a timely fashion and within the statutory time limits. Ensure Data Protection requirements are met. Provide administrative support for Registration Boards including the preparation of minutes, meeting packs and reports on applicant files. Presentation of assessor reports at Board meetings. Deal with routine queries and complaints whilst providing a quality customer service. Proactively identify new methods to make daily operations and processes more efficient and robust. Schedule and service meetings and organise room bookings as required. Assist in production of Annual Reports, Corporate Plans and Policies and other corporate publications as required. Provide assistance as required with events including preparation of correspondence, notifications, publications and promotional materials. Carry out such other duties as may be required. Participate fully in any cross functional training initiatives from time to time. Represent the client in a professional manner at all times. Skills and Experience: Educated to leaving certificate or equivalent / Education to degree level would be an advantage. At least two years relevant administration experience is essential. Excellent interpersonal and communication skills. Accurate writing skills are essential. Proven organisational skills and ability to work towards tight deadlines. Ability to effectively manage and prioritise workloads. Adaptability and flexibility are important. Demonstrated customer service skills. Attention to detail is essential. Ability to work with confidentiality and discretion to a high degree is expected.
