Description

We are looking for a highly experienced PA & HR Assistant to join our team at Bridhaven www.bridhaven.ie . You will provide a high level of support and assistance to the Registered Provider, Director of Nursing and the HR Manager. You will play a key role in contributing to the efficiency and effectiveness of the Management Team and therefore will have extensive experience of supporting at this level. Your Challenge: This role encompasses a full range of PA and administrative duties including but not limited to: • Arranging and coordinating meetings, training events and seminars (both on and off site. • Agenda preparation and Minute taking. • Assist with preparation of reports, statements, policies and procedures etc. • Screening calls and correspondence. • Check and respond to emails when required. • Diary management for Director of Nursing. • Coordinate the management of repairs, printers, stationery, etc. • Scanning and filing as required. • Maintain action matrix and track progress with management. HR duties include but not limited to the following: • New starter onboarding: creating the New Starter pack, coordination of induction and rostering, reference and verification of documents, etc. • Input onto Garda Vetting system. • Generate correspondence when required. • Participate in interviews of junior levels of staff when required. • Coordinating rostering of training in conjunction with Management Team and Roster Managers. • Absence: - manage and track RTW forms to HR. • Collate monthly KPI documents. • Co-ordination of exit interviews. • Provide payroll related information to payroll team. Your Expertise. • Previous Executive Assistant experience in similar level role. • Previous experience of operating as a HR Assistant or similar. • Computer literacy with a comprehensive working knowledge of Microsoft Word, Excel, PowerPoint, SharePoint and Outlook applications and the Internet. • Excellent keyboard skills. • Excellent interpersonal skills - The ability to communicate confidently and persuasively with a wide variety of people both internal and external, up to the most senior levels within Bridhaven in order to build good professional and personal relationships. • Excellent organizational skills. The ability to work under pressure and use considerable initiative to meet strict deadlines. • The ability to work closely with the Stakeholders; to understand objectives and way of working and to enable provision of informed support across a wide range of activities. • An extremely professional attitude is required, as is the integrity necessary when dealing with confidential information. • Highly self-motivated with a 'can-do' attitude and the ability to work with minimum supervision. This position may require exposure to information which is subject to external control regulations and Vulnerable Adults.
