Description

Administration & Training Support. Immediate Start. €14.00 per hour. 3-6 months with possible view to permanent. City. Duties: working as part of the training function to provide professional and efficient service to members and staff; provision of administrative support for Training Officer; all aspects of co-ordinating and organising training courses and other learning events; design and development of training materials and presentations; assist with design and development of eLearning and other training, in conjunction with Training Officer; the maintenance of an effective document filing system, including the use of membership software to record interactions with members/trainees; the introduction and maintenance of training information on the membership database system (training log) in conjunction with the Database/ICT Manager; using social media and other communication methods to promote, publicise and support the training function; liaison with learners and support for learners and other key stakeholders, including employers, other sectoral teams, and a range of internal software tools; undertaking Training Needs Analysis, training evaluations and training reports in conjunction with Training Officer; covering absences of other Administrative Support colleagues, as required by the Administration Manager; undertaking other duties as may be required from time to time by the Senior Manager or the Administration Manager; and any other relevant duties as required. Key attributes required: complete discretion and integrity in dealing with matters of a confidential nature; initiative and ability to work independently, where necessary, and collaboratively with other staff and with members; capacity to multi-task effectively; capacity to organise workload efficiently – especially in time-critical situations; flexibility and adaptability. Essential Capabilities: a commitment to learning and development; excellent communication skills – both written and oral, and including report writing/preparation of presentations; excellent administration skills; a willingness and ability to design training presentations and packs; a professional attitude to his/her work; the capacity to work on his/her own initiative, when necessary; extensive experience of using Microsoft Office; strong organisational skills including forward planning, personal time management, ability to prioritise; familiarity with using the internet to conduct searches for documentation and information; familiarity with social media and other communication tools; ability to write reports, draft presentations, conduct and analyse negotiations and surveys; an imaginative approach to problem-solving; proven ability to build and maintain strong working relations and work as part of a team; a willingness to innovate where it will enhance overall operational effectiveness; a willingness to collaborate effectively with Training Officer and others; and. a clear ability to meet deadlines.
