Temp Executive Assistant/ Office Manager – to end of the year. (possible view to a permanent role. Start date: as soon as possible. €negotiable DOE. Our client are a globally successful, leading solutions company, and are looking to hire a Temp Executive Assistant/ Office Manager to work with the company’s CEO and CFO based up in Glasnevin. This role requires a high degree of collaboration across the business and the successful person will be developing trusted relationships with key internal and external stakeholders globally. This is a busy and varied role which demands the ability to prioritize effectively and deliver results against a sometimes hectic backdrop, whilst maintaining a calm and professional approach.You will be privy to commercially sensitive information and so appropriate discretion and confidentiality is expected. As Executive Assistant to the CEO and CFO you will: Managing their diaries. Coordinating travel requirements. Liaising with third-parties and global operations as required. Setting up and managing Company meetings, keeping documented minutes and support with the following up on agreed actions. Managing of Company Document Management processes. Maintain accurate records of expenditure. Meet and greet clients and guests in a professional manner. Screening of incoming calls, post, emails and responding to or directing as appropriate As Office Manager you will: Identify Company Facilities Management requirements in line with the growing needs of the business. Source potential suppliers and make recommendations to the CEO/CFO as needed & manage the relationship. Ensure Office Health & Safety is managed within the HSE guidelines. Maintain accurate and up to date electronic records of expenditure. Production of monthly management reports on key areas of responsibility. Involvement in ad-hoc projects as required, working to agreed timescales and networking with appropriate internal and external stakeholders. Oversee the general upkeep of the Office ensuring cleanliness and availability of fully functional equipment (I.T.; furniture; kitchen appliances etc.) Maintain adequate stocks of 'office essentials' to include stationery; printer supplies; kitchen supplies etc. Experience & Skills needed: Minimum of 3 years previous Office and Facilities Management experience. A strong collaborator and is used to working alongside Managers and professionals for an international company. Experienced PA or has sufficient transferable skills to be successful in this element of the role. Excellent communication skills. Experienced at developing process documentation. Proven experience of project management. Adept at managing 3rd party supplier relationships. Exercises sound judgment and discretion. Self-motivated and focused on delivering results to required standards. Proficient in Microsoft Office and is adept at using unfamiliar software. Professional and confident appearance. Must be fluent in English, written and oral. Able to work on own initiative without direction. Enthusiastic, motivated, and positive attitude. Must be extremely organised and have the ability to prioritize.
