The successful individual will have the following attributes: -Highly organised with the ability to multi-task and prioritise in a busy environment. -A ‘can do’ attitude, as team members will rely on this individual to assist with a variety of tasks, varying in scale and importance. -Proactive in their approach to work, thinking ahead to ensure the team operates efficiently at all times. -Must be comfortable working to tight deadlines. -Possess a professional approach to their work at all times. -Friendly and composed disposition. -Conscientious in their attitude towards time-keeping and work ethic. Essential: -Well organised. -A minimum of 2-3 years of experience in a busy office environment is required. -Fluent verbal and written English is essential. -A strong knowledge of the MS Office suite, in particular Word, Excel, PowerPoint and Outlook. -Attention to detail is essential as the individual will be required to review documents and reports, at times with tight deadlines. -Excellent phone manner. -Given the sensitive commercial information the successful candidate will have access to, confidentiality and discretion is crucial. -A copy and audio typing speed of at least 60 WPM with a high accuracy rate. -Strong interpersonal skills as this role involves interaction with every level of the business. Advantageous: -Experience working in the property industry will be an advantage but is not essential. -The individual should have a general interest in the property industry and have an awareness of current newsworthy topics. -As the department regularly produces sales proposals for our clients, some marketing experience would be an advantage. Job Specification: -Assisting with the preparation of sales proposals which involves working closely with the team and designers. -Typing, editing, formatting and proof reading documents, including proposals, brochures and adverts. -Helping produce presentations and liaising with in-house Research and Data Analytics teams. Audio typing – transcribing dictations including emails, letters and reports. -Fielding phone calls, taking and communicating messages accurately and efficiently. -Diary management. -Booking meeting rooms and conference facilities. -Organising travel for team members. -Data entry – recording jobs and client data on our CRM database. -Uploading / downloading of documents to property data sites. -Filing, photocopying, maintaining hard and soft filing system. -Monthly preparation of directors’ expense reports. -Invoicing for the department. -Ad hoc administration.
