Supply Chain Administrator. I'm working with a client who is recruiting a Temporary Support role to facilitate the acting Supply Chain CAC Specialist and support them in co-ordinating the Contracts Approval Committee (CAC) approval process. The Temporary Support person will also support the Supply Chain System and Process Manager and Supply Chain Operations Manager in operational activities as required. Duties and Responsibilities: Arrange meetings ensuring that members are available to attend meeting. Arrange supplementary or emergency meetings as required by the business to ensure contracts approvals are provide in a timely manner. Arrange for Responsible Contract Managers / Tender Owners to attend the meeting to present their papers. Record and circulate meeting minutes and actions arising ensuring follow up to the actions with the managers are closed out. Keep accurate records of meetings and maintain the central storage of documentation in the appropriate business unit systems (Sharepoint. Maintain an updated record of contracts, extension and variations approvals including non-compliances. Work closely with Contract Management System, Specialists on PD03 & CMS approvals. Promote and enhance strong contract compliance and governance, dealing with queries as they arise across Supply Chain and amongst the Business Units. Raise and escalate non-compliance issues as they arise. Generate detailed tracker reports as required. Act as a Document Controller for Supply Chain Governance in the creation and maintenance of the project library and effective maintenance of documents. Provide real time updates and reporting of the contract approval status as required. Provide a high quality delivery in a service orientated environment. Adopt a ‘one team’ culture. Perform other duties as required from time to time. Knowledge, Skills and Experience: Experience in administration, managing meetings, processes and systems. Knowledge and understanding of contracting approval processes and an understanding of contract risk an advantage. Identifying process standardisation and driving service excellence. Ability to identify and analyse problems and potential improvements, and propose and implement solutions. Proficiency in Microsoft Excel and SharePoint advantageous. Proven ability to; - Provide excellent customer service advice and support. - Present data in a summary format highlighting key areas to focus on via excel and or power point. - Multi task and prioritise workload on a daily basis. - Deliver against tight timelines with multiple stakeholders. - Create and develop excellent working relationships within and across teams to facilitate the accomplishment of work goals, coupled with the ability to gain commitment from others. Excellent verbal and written communication skills.
