The Garage & Maintenance Manager will be responsible for overseeing the management of general Garage operations. They will also be responsible for the implementation and management of cost saving systems in relation to parts purchasing, vehicle repairs, fuel consumption, claims management, incident reporting, daily walk-around supervision, health & safety control and driver risk assessment and control, . Primary objectives are to increase overall company efficiency, reduce costs through improved fuel management and reduce the number of incidents and insurance claims by ensuring correct procedures are followed at all times and through rigorous risk assessment and ongoing driver training. Key responsibilities include, but are not limited to: General Garage & Maintenance Management. - Liaising with and helping Assistant Garage Manager in all functions delegated to him to ensure efficient purchasing, record keeping, timely chassis and body repairs etc. - Overseeing the weekly rostering of staff and allocation of duties to mechanics, security and other maintenance/repair personnel. - Operating emergency mobile phone number on a bi-weekly rotating basis with Bart out of office hours. Any changes to roster to be agreed with Management. - Attend Office on Saturdays on an agreed rotating basis and hold emergency no. for same week-end, responding to calls and ensuring smooth operation of Company Fleet during these week-ends. - Ensuring that you are contactable at all times on numbersto deal with emergency situations, if required. - Overseeing the repair of all faults that are identified and reported on driver walk-arounds are rectified in a timely and efficient manner. - Ensuring the smooth flow of information between Garage & Transport departments at all times. - Overseeing purchasing of garage & maintenance supplies subject to a purchase authorisation limit. Fuel Management. Monitor fuel usage and review and interpret data, performing analysis with a view to developing cost saving solutions. Manage outcome of reports against agreed goals. Relay report findings to drivers where appropriate and provide training and support to assist drivers in improving efficiencies. Identifying, recording and reporting of fuel consumption trends to Directors on a weekly basis. Producing and analysing monthly driver reports, providing Directors with reports and flagging any specific driver issues on a monthly basis. Implementation and management of fuel monitoring system/driver incentive system to reduce fuel consumption and unsatisfactory driving practices. Communicating and co-operating with all company departments as appropriate to ensure the effective flow of work at all times. Claims/Procedures Management. - Ensuring compliance with relevant legislative and regulatory requirements for all garage operations. - Vehicle Management System supervision, recording and reporting. Recording and reporting of all incidents per driver and identifying and reporting trends to Directors. Ensuring that each driver completes their daily walk-around as required by law. Management of insurance claims and liaising with insurance companiesin a timely manner. Ensuring ARFs are properly completed in a timely manner and sent to Campion Insurance together with copy of driving licence, appropriate images and any separate driver narrative reports. Update insurance control log for all accidents involving third parties and ensuring that drivers completely accident report forms in a prompt manner, including photographic images of accident scenes. Ensure that clear and accurate communication is cascaded throughout the company, and that good communication links are established both internally and externally. Ensure that garage, yard and security health & safety procedures are followed at all times and all necessary annual tests and certificates are kept up-to-date. Risk Assessment & Management. - Ensure that driver medical are conducted on an agreed schedule and that proper record is kept and liaising with Philip to mpke appropriate driver medical tests appointments. - Investigate up to date driving risk assessment requirements per RSA website and documentation and initiate a programme of risk assessment for each individual driver, taking into account driving behaviour patterns per Blue Tree records and reported incidents. - Initiate a training programme in conjunction with Larry Graves for safe and fuel efficient driving. - Keep separate files for each driver which can be accessed centrally and include all necessary medical and incident history, legal documents, training log.
