Temporary Finance & Administration Officer - Part-Time. €DOE. 3 months temporary. Dublin 3 area. Duties Financial Management Recording, Control and Reporting Income & Expenditure/Cash Receipts Transactional Management, Control & Collection. Cash receipts recording – Smart, coaching, bar, sponsorship, other. Cash payments recording and financial summaries. Maintaining records of matters arising, handling and exception reporting. Monthly cash receipts summary and reconciliation. Preparing and making lodgements to bank. Monthly bank reconciliation analysis. Pay Pal Drawdown/Transfer to Current Account. Bar Receipts: Cash Receipt acknowledgement and registering into the accounts daily. Vending Machine Receipts: Cash Receipt Acknowledgement and Registering into the accounts periodically. Misc Exec Committee Purchases|Payback. Bar Drinks Ordering – Online / Local purchase and payback. Cleaning products and others Misc Supplies Ordering. Supplier/Vendor Invoice Engagement & Timely Payment Management. Online Posting, payment and filing of vendor/supplier invoices. Supplier invoice posting to/recording in accounting package. Office Operations: Systems, Processes and Procedures. Practice in a Front Office Capacity and a strictly Back Office capacity at different times daily. Posting/communicating Outcome ETAs/WIP of all requests. Practice and maintain an effective paperwork filing system. Maintain a high standard of PC File Naming conventions and Folder locations. Final Archive all historic Documentation. Manage the Hall Hire, Booking Form, Deposit & Bar Manager OK, Exec OK, Wall Calendar regime. Maintain Training/Sick Leave/ Holidays Plan| Status /Records. Complete any/all Data Protection (GDPR) responsibilities as specified and agreed with the Exec Committee. Support the Exec Committee on Sports Capital Grants Applications | Invoice Claim Backs. General Q&A face to face | phone calls. Systems. IS/IT Support Requirements/Needs: Reporting & management of issue to resolution. Maintain / Protect CLTC PC Passwords. Propose and implement Improvement Proposals |Way of Workings changes. Annual Membership Status|Fee Management, Communications, Control & Collection. Maintain the SMARTCLUBSOULTIONS system– individual member records updates & maintenance, to the highest standard of accuracy. Maintain Membership Fees: Charges, Invoices, Payments Receipt and Recording of any non-online payments. Handle all SMARTCLUBSOLUTION Not Working Card issues arising , resolving most self-sufficiently, ParticipateNew Members On-Boarding Process. Participate in Meet & Greet during working days. Issuing of Info pack. Communications content & Management. Communication Management to and with members, on all medias. Electronic Communications. email – Inbox. Same day/next day response / FYI forward to appropriate Exec Committee members. Maintain an ETA /target date to closure on all email comms responses. Handle any incoming post and notify any receiver of post having arrived, same day / next day. Issue any paper post as it may arise. Class Planning and Facilitation. Provide the necessary timetable co-ordination function of Classes and Instructors. Printing and posting of Call-For-Names and email comms on same. Govern Waivers signoff sheets – process the access granting in SMARTCLUB. Senior & Junior Facilitation and Co-ordination. Provide support to Senior operations, incl Leagues and internal events. In House – print & post (call for names/ round robin etc. Provide Support to Junior operations, incl Leagues and internal events. JDC- Communications, General League Ordering. General Notices Posters (Print & Hang. Desirable Experience and Attributes Minimum 3 years experience in Admin/Finance Role. Proficiency in use of MS Office Word – mail merge. Proficiency in use of MS Office Excel – functions, tables etc. Experience in accounting record maintenance, reconciliation of income and expenditures and production of financial summaries and reports. Strong organisational skills. Ability to use own initiative. Proficiency in database and systems management. Proficiency in use of social media platforms and communications.
